Introduction Flow

This section describes how to set up and work with system administrators in the Garoon trial environment or in the post-purchase environment.

Steps:
Users & System Administration Access Users & System Administration.
Users & System Administration is a service that manages settings common to Cybozu cloud services, such as user administration and security settings.
For the login steps, refer to Logging in to Administration.
Users & System Administration Configure the subdomain and security settings.
  • Change the subdomain:
    You can change the subdomain of the login URL to a different subdomain based on your company/organization name. A subdomain is a part of the URL, as indicated in the example below.
    Example: https://(subdomain name).cybozu.com/g/

Users & System Administration Add organizations.
You can add your company structure as an organization.
Setting up organizations allows users to set up permissions and update notifications for each organization, which is useful for managing information.

Add users to use Garoon.

Users & System Administration Set up the organization members.
Associate users added in Step 4 to the organizations added in Step 3.

Users & System Administration Add a group (role) according to your needs.

Groups (roles) are groups of users who have been classified by job title, role, and so forth, separately from organizations.
As with organizations, you can set permissions and update notifications for each group (role).
Example:

  • Role of department
  • New Product Development Team Group (role)

Add groups (roles) and let users have them.

Users & System Administration Set Users & System Administrator (Garoon System Administrator).
The cybozu.com Store Administrator who signed up for a trial or purchase is set as the Users & System Administrator by default. For details, refer to Users & System Administrator Settings.
By configuring the cybozu.com Store setting, Users & System Administrators can change the contract information.

Garoon Depending on the operation, you can set up applications for users to use.
You can limit which applications are available to users for each organization, user, or role.
Applications that are not allowed to use are not displayed on the user screen.

Garoon Set required settings for each application you want to use.

If you set up the following applications, you can start the operation smoothly.

  • Portal:
    Create a portal for users to use for each application.
    For details, refer to Flow for Creating Portals.
  • Scheduler:
    Set up the conference room and facilities required to add an appointment.
    For details, refer to Scheduler in system administration.
  • E-mail:
    Set up the mail server and user account to be able to receive e-mails in Garoon.
    For details, refer to Setting up mail servers and configuring user accounts.
  • Workflow:
    Create an input form for the workflow so that users can submit the request data.
    For details, refer to Workflow settings flow.
  • MultiReport:
    Create a report entry form so that users can create a report.
    For details, refer to MultiReport in the system administration.
