Notes on Using AI Search Chatbots

This article contains important notes to keep in mind when sending questions or instructions to an AI Search chatbot.

Number of records referenced to generate responses

Responses to prompts are generated based on the information in up to five of the records determined to be most relevant.
For this reason, AI Search chatbots may not be able to correctly respond to prompts that require more than five records to be referenced.

Example:

  • Prompt: "How many employees are in the sales department?"
  • Data source app: Employee Database

If the Employee Database app specified as the data source has one employee's information registered per record, the question cannot be answered correctly because only up to five employee records can be referenced.

Fields that cannot be searched

An AI Search chatbot may not be able to respond if your prompt needs information from a field that cannot be searched.

Fields that can be searched

Example 1:

  • Prompt: "Can you summarize the cases created by John Jones?"
  • The Created by field cannot be searched, so the AI Search chatbot will not be able to obtain search results and generate an answer.

Example 2:

  • Prompt: "Please summarize the sales activities from January 2025 in about 10 lines."
  • Date fields cannot be searched, so if the dates of sales activities are recorded using one, the AI Search chatbot will not be able to obtain search results and generate an answer.
