Using Last Updated Date of Record to Check and Clean up Apps

By using "Last Updated Date of Record" in the App Management screen, you can easily find apps whose records have not been added/edited for a long time so that you can check and clean up unnecessary apps.

The followings are the details of "Last Updated Date of Record" and how to check and clean up apps by using this column.

What Is "Last Updated Date of Record"?

"Last Updated Date of Record" shows the latest date when a record was added/edited.
If a record has never been added/edited after you created an app, the date when the app was created is shown.

If "(No data)" is displayed, the app was created before the update in January 2021 and also a record in the app has never been added/edited after the update.

Using Last Updated Date of Record to Check and Clean up Apps

This section describes how to identify apps that are likely unused and clean them up by using "Last Updated Date of Record".

By clicking the "Last Updated Date of Record", sort the apps by the descending order (oldest first).
Apps are displayed in order from oldest to newest "Last Updated Date of Record", with the "(No data)" apps shown first.

You can select apps that are likely unused from apps of which the "Last Updated Date of Record" is old or displayed as "(No data)".

For example, you may also confirm the following columns to narrow down the apps.

  • App name is "New App"
  • Status is "Not Activated"
  • The number of records is "0"

If the app name is "New App", the default name when creating the app has not been changed.
If the app status is "Not Activated", the app is still under creation and not yet activated.
If no records have been added into these apps for a long time, they may have been created as a trial purpose and no longer in use.

However, even if no records have been added/edited for a long time, the data in the app may be mainly used for viewing or referencing purpose. (Examples: Budget master, Store master, Internal FAQ)
These apps should be retained and should not be deleted.

Examples to check and clean up apps:

  • Confirm "Created by" and/or "Settings: Updated By" in the App Management screen and contact them
  • Add "To be deleted" to the app name, and see if there is any response from app users for a while

From February 2021 Update, the CSV file containing the downloaded app list will include "Last Updated Date of Record".

The downloaded file can be used, for example, when analyzing apps usage, or creating a new app to manage and organize growing numbers of other apps.
