When and to Whom Notifications Are Sent

This article describes when and to whom notifications are sent.
Note that kintone has two types of notifications: "To Me" and "All" notifications. The differences between the two are described on the following page.
Differences between "To Me" and "All" Notifications

Apps/Records

Notification trigger "All" notification recipients "To Me" notification recipients
A record is added Users whose Record is added option is enabled in the General Notifications settings and who satisfy either of the following conditions:
  • The user is specified as a notification recipient in the General Notifications settings
  • The user belongs to the department or group specified as a notification recipient in the General Notifications settings
 Users who are specified in any of the following fields with the Record is added option enabled in the General Notifications settings:
  • User selection
  • Department selection
  • Group selection
A record is updated Users whose Record is edited option is enabled in the General Notification settings and who satisfy either of the following conditions:
  • The user is specified as a notification recipient in the General Notifications settings
  • The user belongs to the department or group specified as a notification recipient in the General Notifications settings
 Users who are specified in any of the following fields with the Record is edited option enabled in the General Notifications settings:
  • Created by
  • Assignee*1
  • User selection
  • Department selection
  • Group selection
*1: Users who are assigned as "Current Assignees" when the record is edited. Users who have already performed an action will not receive notifications even if they are assigned as "Current Assignees."
A comment is posted to a record Users whose Comment is posted option is enabled in the General Notifications settings and who satisfy either of the following conditions:
  • The user is specified as a notification recipient in the General Notifications settings
  • The user belongs to the department or group specified as a notification recipient in the General Notifications settings

  • Users who have ever commented on the record (If the Send updated comment notifications to all commenters option is selected in the General Notifications settings)
  • Users mentioned in the comment

  • Users who are specified in any of the following fields whose Comment is posted option is enabled in the General Notifications settings:
    • Created by
    • Updated by
    • Assignee*1
    • User selection
    • Department selection
    • Group selection
    *1: Users who are assigned as "Current Assignees" when the comment is posted. Users who have already performed an action will not receive notifications even if they are assigned as "Current Assignees."

"Assignee" is changed Users specified as "Assignee"
The status of a record is changed Users whose Status is changed option is enabled in the General Notifications settings and who satisfy either of the following conditions:
  • The user is specified as a notification recipient in the General Notifications settings
  • The user belongs to the department or group specified as a notification recipient in the General Notifications settings
  • Users who are specified in any of the following fields whose Status is changed option is enabled in the General Notifications settings:
    • Created by
    • Assignee*1
    • User selection
    • Department selection
    • Group selection
    *1: Users who are assigned as "Current Assignees" after the status change.
Exporting record data to a file is completed The user who carried out the operation to export record data to a file
Exporting record data to a file fails The user who carried out the operation to export record data to a file
Exporting record data to a file is canceled The user who carried out the operation to export record data to a file
Records are added or updated via file import Users whose File imported option is enabled in the General Notifications settings and who satisfy either of the following conditions:
  • The user is specified as a notification recipient in the General Notifications settings
  • The user belongs to the department or group specified as a notification recipient in the General Notifications settings
 The user who carried out the operation to import a file
Importing record data from a file fails The user who carried out the operation to import record data from a file
Importing record data from a file is canceled The user who canceled the operation to import record data from a file
Records are bulk deleted The user who carried out the operation to bulk delete records
Bulk deletion of records fails The user who carried out the operation to bulk delete records
Bulk deletion of records is suspended The user who carried out the operation to bulk delete records
A periodic report is generated The user who set the periodic report

A condition set in the Per Record Notifications settings is met

These notifications are sent when records are added/updated or when record statuses are changed if the specified condition is met at these time points. The notifications are not sent when records are added or updated by importing CSV files.		 Users specified as recipients in the Per Record Notifications settings
A condition set in the Reminder Notifications settings is met

Records are checked every 10 minutes, and reminders are sent out if any records meet the condition. The sender is always "Administrator."		 Users specified in the Reminder Notifications settings
More than 100,000 records match the contains or does not contain condition set in the Reminder Notifications settings App administrator
