Actions Users Can Perform on Apps

In kintone, there are three levels of permissions you can set: app level, record level, and field level.
The actions users can perform on apps differ depending on the permission granted to them. For details on which actions can be performed, see the sections below.

Actions on Apps

The permission to create apps is managed in kintone Administration, and permissions to perform other actions are mainly managed in the App Settings of each app.

Create Create apps
(Excluding the method below)
  • Users who are granted the "Create apps" permission in the Permission Management settings in kintone Administration
  • This action can be performed by Users & System Administrators.
Regarding the action to create in-space apps, refer to Actions Users Can Perform on Spaces.
The app groups a user can select when creating an app are as follows:
  • App groups for which the user is granted the "Create apps" permission
  • The "Private" app group
Create a new app by duplicating an existing app (Same as above) (Same as above)
You can only duplicate apps for which you have the management permission.
Display apps on Portal All users Apps that meet both of the following conditions are displayed on each user's Portal:
  • Apps that belong to an app group for which the user is granted the "Manage/use/delete apps" permission
  • Apps for which the user is granted the "Add records" or "View records" permission in the Permissions for App setting
Import from file Users who are granted the "Import from file" and "Add records" permissions in the Permissions for App settings
Export to file Users who are granted the "Export to file" and "View records" permissions in the Permissions for App settings
Filtering records to display in an app's view All users
  • Saving filter conditions of the view: Allowed only for app administrators
  • Saving filter conditions of the view as a bookmark: Allowed for all users
Create a chart / Perform data aggregation (Same as above)
  • Saving aggregation conditions: Allowed only for app administrators
  • Saving aggregation conditions as a bookmark: Allowed for all users
Delete an app
  • App administrators
  • Users & System Administrators

Create and edit a custom view
  • Users who are kintone Administrators as well as app administrators

If Configuring Department Access Control is enabled, this action can be performed by the following users:
  • Users who are kintone Administrators as well as app administrators

Change which app group an app belongs to
  • App administrators
  • Users & System Administrators
The app groups a user can select are as follows:
  • App groups for which the user is granted the "Create apps" permission
  • The "Private" app group
Also note that the app group for in-space apps is set to the "Public" app group, and it is not possible to change the app group for these apps.
Change which space an app belongs to
    Users who meet all of the following conditions:
  • The user is an app administrator of the app to be moved.
  • The user has the permission to create apps that belong to the "Public" app group
  • (In the case of moving an app that already belongs to a space) The user is an administrator of the space to which the app belongs at the time when this action is carried out.

Actions on Records

View/edit/delete records Users who are granted the "View records," "Edit records," or "Delete records" permission in the Permissions for App settings
If the Permissions for Records settings are configured for a record, the users need to be granted the "View," "Edit," or "Delete" permission.
Add records Users who are granted the "Add records" permission in the Permissions for App settings
Bulk delete records Not allowed by default
If the Bulk Deletion feature is enabled in Misc Settings, this action can be performed by users who are app administrators and are granted the "Delete records" permission in the Permissions for App settings.
Post/view comments on a record Users who can view the record
Display the change history (Same as above)
Restore a previous version of a record from the change history Users who can edit the record

Actions on Fields

Action Users who can perform the action
View Users who can view records
If the Permissions for Fields settings are configured for a field, the users also need to be granted the "View" permission for the field.
Edit Users who can add or edit records
If the Permissions for Fields settings are configured for a field, the users also need to be granted the "Edit" permission for the field.
