About Response Generation and Data Source Usage
This article explains how AI Search chatbots generate responses and how their data sources are used.
How responses are generated
AI Search chatbots generate responses in the following way.
(1) A user sends a question or instruction to the AI Search chatbot
(2) The AI Search chatbot generates keywords to search for from the user's prompt
(3) The AI Search chatbot searches for the keywords in the apps specified as data sources
(4) The AI Search chatbot generates a response based on up to five of the most relevant records in the data source apps
How data sources are used
The data sources used by an AI Search chatbot are set under Data sources for generated answers on the AI Search chatbot settings screen.
However, the fields used in steps (3) and (4) of the response generation process are different.
Fields that can be searched
When data source apps are searched for keywords in step (3) of the response generation process, the following fields can be searched if they are specified as data sources.
- Text fields
- Text area fields
- Rich text fields
- Link fields
- Lookup fields
If a Text field or a Link field is specified as the key field. - Attachment fields
Fields that can be used for generating answers
When a response is generated in step (4) of the response generation process based on up to five of the most relevant records, the fields specified as data sources are used.
However, some fields, such as fields in categories, tables, or groups, may not be referenced when a response is generated.
