Setting Up Mailwise Connector

"Mailwise Connector" is a plug-in that connects kintone and the cloud version of Mailwise under the same domain.

When kintone and Mailwise are connected, information from kintone apps can be used as follows when sending e-mails on Mailwise:

  • Use as an address book:
    Select a template from the record details screen of an app, and then create an e-mail.
  • Use as a template (sample) for subjects or body text
    Populate the fields of the e-mail edit screen on Mailwise with the e-mail addresses or subjects registered to an app.
    Fill in the fields of the e-mail edit screen on Mailwise with the subjects or body text from templates.

Setting Up the Connector

Mailwise Connector can be used in either of the following ways:

  • Use an app from the marketplace:
    Use Marketplace Search to search for "Mailwise Connector Pack", and add it to kintone.
    For details, see the description about how to install plug-ins on Kintone.
  • Create an app from scratch

This part describes how to create apps from scratch and then set up a connection with Mailwise.
Use the following steps:

STEP 1: Create Apps on kintone

Create the following apps:

  • An app that works as an address book
  • An app that manages templates for subjects and body text

Creating an Address Book App

On kintone, create an app that works as an address book. Add fields to the form as needed, such as for customer names and e-mail addresses.

Form example: Sample of the form

  • An entry field for e-mail addresses can be a "Link" or "Text" field that is set with the "E-mail Address" type.
  • If you want to use "Company", "Customer", or "Section" as a field code, the first letter must be capitalized. If the first letter is in lower case, the field code will not be replaced when you send bulk e-mails.
  • You can use an existing app as an address book.
  • With the Space feature, you can use apps that were created in Spaces.
Tips

You can add a "Blank space" field to the form to display the history of contact with a customer where added.

Display example:

To display the history of calls and visits, the customer must be added to the address book on Mailwise.

Creating a Template App for Subjects and Body Text

On kintone, create an app to manage templates for subjects and body text. Each template is managed as a single record.

Form example: Sample of the form

Add the following fields to the form of the app:

  • Entry field for the template name:
    Use a "Text" field.
  • Entry field for the subject in the template:
    Use a "Text" field.
  • Entry field for the body text in the template:
    Use any of the following types of fields:
    • Text
    • Text Area
    • Rich text
Tips

You can compose the body text so that it can retrieve the values of fields from an address book app and insert the values into any locations in the body text.
To insert the value of a field, include the field code of the field by enclosing it in half-width percent symbols (%).
For example, if a company name field has the field code of "Company", include the string "%Company%" to insert the value of the field.

You can insert the values of the following types of fields into templates:

  • Text
  • Number
  • Radio Button
  • Link
  • Lookup
  • Drop-down

STEP 2: Add Mailwise Connector

Add Mailwise Connector to the address book app.
For details, see Adding Plug-ins to an App.

STEP 3: Configure Mailwise Connector

Configure the plug-in that you added in STEP 2, as needed.

  1. On the app management screen, select App Settings and open Plug-ins. Click the gear icon for Mailwise Connector.
  2. Specify each item. Fields without asterisks (*) are not required.

    • Sending Type:
      Select the check boxes of the functions you want to use.
    • E-mail Space to Use:
      Select the e-mail space you want to use for this integration.
      The drop-down list contains e-mail spaces that the login user is allowed to use.
    • E-mail Application to Use:
      Select the e-mail application you want to use to send e-mails.
      The drop-down list contains e-mail applications that are available in the e-mail space selected in "E-mail Space to Use" and the login user is allowed to view.
    • To Field, CC Field for Individual Sending, and BCC Field for Individual Sending:
      Select a field that provides a value to these fields of an e-mail.
    • Template:
      Select the check box to use templates for e-mail subjects and body text.
    • Template App:
      Select an app when you choose to use templates.
    • Template Name Field:
      Select the field that contains the template names.
      The values of the selected field appear when users select a template to use.
    • Subject Field:
      Select the field that contains subject templates.
    • Body Field:
      Select the field that contains body text templates.
    • Blank Space Field used for History:
      When the form displays the history of contact with a customer, select the element ID of the "Blank space" field that you added to the form.
  3. Click "Save". On the "Settings" screen, click "Update App" and then "OK". The settings of the plug-in are applied to the app.

Sending e-mails

This part describes how users send e-mails to recipients who are registered in the address book app.

Individual sending (by selecting a recipient record):

  1. Open a record that you want to use as the recipient, then select a template and click "Create new e-mail".

  2. Mailwise displays the e-mail edit screen.
    The To recipient, the subject, and other fields are automatically populated with values from the template you selected.
    Complete the body text, and then click "Send>>" to send the e-mail. Screen to send e-mail

Bulk sending (by selecting multiple recipient records):

  1. Use a feature of Mailwise to send bulk e-mails.
    For details, see the description about bulk e-mails (Japanese only).
    Use the "Record List" screen to filter and sort the records you want as recipients of the e-mail.
    You can select up to 1,000 records at once.

    Then, select a template and click "Create new e-mail".
    The To field of an e-mail can contain only one recipient from each record.
    When a record has multiple e-mail addresses separated with commas (,) or other symbols, the e-mail is sent only to the first e-mail address.

  2. Mailwise displays a confirmation screen for sending e-mails. Click "Edit contents" to complete the body text, and then send the e-mails.

Viewing the history of contact

When the plug-in is configured with a "Blank Space Field used for History" field, the address book app displays the history of contact with a customer on the record details screen of the record.
The contact history is extracted from the e-mail space that was selected in "E-mail Space to Use", based on the e-mail address that was specified in the "To Field" in the plug-in settings. That is, the contact history is not limited to the application that was selected in "E-mail Application to Use".
To display the history of calls and visits, the customer must be added to the address book on Mailwise.

1: The date and time when the e-mail was sent. When the displayed dates have the same year, the year is hidden.
2: The subject of the e-mail. Click this to display the e-mail that was sent.
3: The type of the contact.
